Hotel offers: packages and rate plans that sell

Rate plans in PMS have no value until the guest can understand the difference and book them online. Here's how to structure an offer that's actually being sold.

Revenue manager can have perfectly structured rate plans in the PMS, but if a guest on the web sees only “Standard Price” and “Lowest Price”, the entire offer strategy is invisible. The hotel offer becomes available only when it is understandable, comparable and available for online booking.

The difference between a rate plan and a package

Rate plan defines the price conditions: flexibility of cancellation, breakfast included, minimum stay. The guest chooses between the conditions for the same room.

The package combines accommodation with additional value: spa treatment, dinner, transfer, activity. The guest chooses the experience, not just the room.

Both elements should be visible in the booking engine, not only in the PMS.

Why the offer does not sell

Too many options

The hotel offers 12 rate plans by room type. The guest gets lost in options and gives up or chooses the cheapest without understanding the difference.

Unclear naming

“BAR RO”, “NRFF 21”, “ADV PUR 30”: revenue terminology that the guest does not understand. Instead: "Flexible rate", "Best price - no refund", "Early booking".

Packages without a value description

"Wellness package 180 €" without explanation what it includes. The guest doesn't know if it's a good deal.

Not available online

The package exists in PMS and the reception sells it by phone, but is not in the booking engine. The guest who wants to book online does not see the option.

How to structure a sales offer

Layer 1: Base rates (by room type)

RateTermsObjective
FLEXIBLEFree cancellation up to 48h before arrivalGuest who values flexibility
Best PriceNo refund, advance paymentGuests looking for the lowest price
Early bookingBooking 30+ days in advanceAssistance in planning occupancy

Layer 2: Packages (seasonal or themed)

  • Romantic weekend - overnight, dinner, spa for a couple
  • Family package - accommodation, breakfast, activities for children
  • Wellness retreat - overnight, spa treatments, yoga

Each package needs: a clear name, a description of what is included, the total price, savings in relation to the purchase separately (if any).

Layer 3: Add-ons (upsell in checkout)

Parking, late checkout, transfer, spa treatment, room upgrades. Add-ons increase the average value of a booking without complicating the initial selection.

Naming rules guests understand

  • Use guest language, not internal PMS tags
  • Highlight the main advantage in the name: "Breakfast included", "Free cancellation"
  • Avoid abbreviations and codes
  • Be consistent on the website, booking engine and OTA profiles

Keeping offers consistent across digital channels

The offer in PMS, on the website and on OTAs must be consistent. A guest who sees a package on the website but not on Booking.com, wonders why. Guests who see the lower price on OTA do not book directly.

Price parity is not the same as an identical offer, but key packages and rates should be available on a direct channel with a clear advantage (best rate guarantee, additional benefit).

Check consistency with booking engine checklist and regular management reporting.

Measuring the impact of the offer

Track each rate plan/package:

  • number of bookings
  • average value
  • Cancellation rate
  • share of the total revenue of the direct channel

The package with a higher value of stay is worth further analysis, but the revenue is not a sufficient criterion: check the cost of the inclusions, margin, cancellations and availability. Rate plan with unusual cancellations requires checking the conditions and composition of guests.

Connection with booking UX

Even a perfectly structured offer will not sell if the booking engine is poorly designed. Hotel Web and Booking UX must present the offer clearly with enough information to decide, but without overloading.

Seasonal offer adjustment

The same offer doesn't work all year round. Structure the offer calendar:

  • Pre-season - early booking, flexible packages, lower price
  • Peak season - premium packages, minimum stay, fewer discounts
  • Post-season - wellness, gastro, romantic weekends
  • Winter - spa retreat, holiday packages, business guests

Each stage requires an update of the visible rate plans on the website and in the booking engine, not just a price change in PMS.

Testing a new offer

Before the full launch of the package, test:

  1. Is the name understandable to the guest (ask reception, not the revenue team)
  2. Is the price competitive with OTA offer for the same content
  3. Is the package visible in the booking engine on mobile
  4. Can be booked without a call to the reception

The package that passes all four questions is ready for promotional campaigns.

Conclusion

The hotel offer is a bridge between the revenue strategy and the guest experience. Rate plans and packages that are clearly named, properly structured and available online convert revenue knowledge into actual bookings.

Frequently asked questions

How many rate plans should the website offer?

Show options guests can clearly distinguish by price, conditions and inclusions. There is no universal optimum; remove unnecessary duplicates and check whether the offer is understandable on a phone.

Should packages cost less than the standard rate?

Not necessarily. A package with breakfast, a spa treatment or activities may have a higher total price but better perceived value. Guests need to see clearly what they receive for the price difference.
