Consolidating PMS and marketing analytics data
How to compare PMS, booking engine, GA4 and ad platforms: common definitions, booking status and explained differences.

AI illustration
Consolidation of hotel data starts with harmonised definitions. PMS, booking engine and GA4 can show different numbers without any report being inherently wrong. The problem arises when a team compares different booking groups as if they were the same.
Agree dates, status and value
| Question | An example of the difference that needs to be clarified |
|---|---|
| What date are we looking at? | Booking creation, arrival or event date |
| What bookings do we include? | Web, Phone, OTA or All Channels |
| What status do we include? | Confirmed, Cancelled or Completed |
| What is the amount? | Stay, advance payment, taxes or additional services |
| What currency do we use? | Source currency or conversion according to agreed rule |
PMS can have multiple reports and dates; don't assume it always shows only the date of stay. For the marketing acquisition, choose the booking creation date, and for realised business, clearly label the stay and revenue view.
How to connect data
To connect bookings use a stable technical identifier that exists in both sources, when supported. Do not send a guest email to ordinary GA4 events as a replacement for a transaction ID.
Keep unmatched bookings as a separate group. Matching date, amount and room is not reliable proof that it is the same booking. If such an estimate is used for internal analysis, label it as an estimate and do not present it as confirmed attribution.
Monthly View Worksheet
| Measure | A source that the team checks | Report note |
|---|---|---|
| Confirmed web bookings | Booking engine | Selected date and status |
| Cancellations and completed stays | PMS or agreed records | Reporting cut-off date |
| Recorded booking journey | GA4 | Coverage, Consent and Model |
| Media Cost | Advertising Platforms | Currency and period |
| Other Sales Costs | Business records | Fees, production and technology |
Zero euros of media spending for organic traffic does not mean that the channel is free. To compare economics, include the relevant costs according to a consistent methodology. More details: direct booking cost.
How to Handle Differences
First, compare the same period and the same coverage. Then check for cancellations, duplicates, values, and changes in measurement. Consent and incomplete data may affect visibility in GA4, but their effect does not need to be converted in advance to a universal percentage.
With each unexplained difference, write down the owner of the check and the next step. There is no general rule that the difference of up to 15% is normal or that a larger difference automatically proves a malfunction.
From Table to Decision
Start with a format that the team can maintain on a regular basis. Choose automation according to the required sources, access control, volume and cost of work, and not according to the arbitrary number of hotels.
For the result of the monthly analysis, choose several business decisions: which stay dates to support, where to check the booking journey and what cost to clarify further. The measurement verification procedure is found in the GA4 Guide, and the example structure in the hotel dashboard.

Frequently asked questions
Does the number of bookings in PMS have to be equal to the GA4 number?
Dates, channels, statuses and measurement coverage should be harmonised first. Equal numbers in themselves do not attest to correctness, and different ones do not prove failure.
Does the hotel need a data warehouse?
It depends on sources, volume, required control, and maintenance. Start with a reliable process and automate the parts for which there is a clear business reason.
